Client Service Associate

Putting client needs first is deeply rooted in our culture and at the core of everything we do. Strong, detail-oriented Client Service Associate supports the team/clients by assisting with various industry specific tasks. Helping to ensure the day-to-day client interaction runs efficiently while always acting as a Fiduciary and putting the clients first. This position requires the employee to perform industry specific tasks such as application submission, account transfer follow-up, and client service work. This includes distributions, index annuity reallocations, incoming client service calls and database management.

Essential Duties

  • Respond to client inquiries as needed with 24 hours
  • Create ticklers in the CRM/Database for all task
  • Open up Annuity Accounts
  • Execute client withdrawls
  • Manage the client rollover process
  • Coordinate Roth conversions
  • Monitor Custodial Alerts/Notifications and alert Advisors when appropriate
  • Follow-up as necessary with vendor companies and clients
  • Provide trading and portfolio support
  • Support service team and provide training/support (as needed or assigned)
  • Assist in coordination of RMDs for qualified client accounts
  • Assist client with using the Harlow Portal and account resets
  • Assist in the monthly client review coordination
  • Assist in opening AUM accounts & guide clients through the process
  • Assist at Client/Prospect Events – some evenings (as needed or assigned)
  • Coordinate Death Claims
  • Assist gifting program and tracking (as needed or assigned)
  • Update Bomb Bomb Accounts, Snappy Kraken and Constant Contact (as needed or assigned)
  • Back up coverage to Front Desk when out of the office (as needed or assigned)
  • Attend trainings (as assigned)
  • Special Projects (as assigned)
  • Coordinate Life Insurance Applications
  • Assist with seminars (as assigned)
  • Contribute to optimizing the company’s performance by identifying, analyzing and improving existing business processes.

Knowledge and Skills

  • Intermediate knowledge of Microsoft Word and Excel

  • Strong organizational skills and attention to detail

  • Intermediate to advanced computer skills

  • Excellent communication – both verbal and written

  • Resourceful in problem resolution

  • Phenomenal phone skills

  • Type 65 wpm

Experience and Education/Training

  • Previous experience in processing confidential paperwork
  • Previous client interaction in an office environment
  • 1-2 experience working in financial industry
  • Experience working in a fast-paced environment
  • Bachelors Degree preferred
